The Admin Avalanche: Drowning in Manual Tasks

For O’Connells OBM managing corporate compliance used to be a relentless manual effort. A central email inbox had to be constantly monitored for notifications from their digital signing provider that ASIC documents were signed. Each document required someone to:

  • File each email manually in the Document Management system
  • Save each attachment individually into the Document Management system
  • For each Form 484, manually check who was responsible for preparing the document, then notify them by email that the form had been received and was ready for lodging.

During peak compliance season in June and July – with hundreds of clients having annual review dates – the filing process alone took hours each day.   The primary reason for this approach was to ensure that accountants could view documents without navigating through multiple systems, but it came at a steep administrative cost.

Turning the Corner: One Simple Integration, Massive Change

The team decided to activate the FYI–CAS360 integration and immediately saw results. It was quick and easy to set up, and brought with it a wave of efficiency:

  • Company statements are now automatically filed into the Corporate Affairs tab in FYI once signed—no team member intervention required.
  • Outlook rules clean up inbox clutter, filing emails into a separate folder so they never touch the inbox or FYI in tray.
  • For Form 484s, an automation creates a task to alert the admin team when documents are ready for lodgement.   Armed with this list (which involves no manual effort to generate) a member of the admin team can log into CAS360 once a day to lodge all the documents that are ready.
  • If accountants want to check if the Form 484 has been lodged, they can see the status of the task in FYI without needing to reach out to the admin team.

Not only was the manual work eliminated, but the automation brought peace of mind. Everything now goes to the right place—accurately and securely.

Next Frontier: Streamlining Disbursements

Having achieved incredible efficiencies with their move to FYI and XPM, the team is eager to continue optimising their new platform.  Inspired by the success of integrating FYI with CAS360, the practice has now cast their mind to how the FYI Elite plan (which includes time & billing) will support automating their disbursement process – another relentless manual effort.
